CloudEmics IT Services (“CloudEmics”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains what personal data we collect when you visit our website or work with us, how we use it, and the choices you have. We process personal data in line with the Nigeria Data Protection Act 2023 (NDPA) and other applicable data protection laws.
1. Who we are

2. Information we collect
Information you give us
- Enquiry form and emails: your name, email address, phone number, company or organisation name, the service you are interested in and the content of your message.
- Client engagements: contact and billing details, and the business and technical information needed to deliver the services you request.
Information collected automatically
- Basic technical data such as IP address, browser type, device type and pages visited, which may be recorded by our hosting provider in standard server logs for security and performance purposes.
We do not knowingly collect sensitive personal data through this website, and we ask that you do not send passwords, financial card details or other sensitive information through the enquiry form.
3. How we use your information
- To respond to your enquiries and provide quotations or proposals.
- To deliver, manage and support the services you engage us for.
- To send invoices, service notices and important updates about your account or project.
- To keep our website and systems secure and working properly.
- To meet our legal, accounting and regulatory obligations.
We will only send you marketing messages if you have agreed to receive them, and you can opt out at any time.
4. Legal basis for processing
We process personal data on one or more of the following bases: your consent (for example, when you submit the enquiry form); the performance of a contract with you or steps taken at your request before entering a contract; compliance with a legal obligation; and our legitimate interests in running and securing our business, where those interests are not overridden by your rights.

We do not sell or rent your personal data. We share it only where necessary with:
- Service providers who help us operate, such as our email provider, website host and the form-processing service (FormSubmit) that delivers enquiry form submissions to our inbox.
- Technology partners such as cloud, hosting or domain providers, where this is required to set up or manage services on your behalf.
- Authorities or professional advisers where required by law, regulation or legal process, or to protect our rights.
These parties are expected to protect your data and use it only for the purposes for which it was shared.
6. International transfers
Some of the providers we use may store or process data outside Nigeria. Where this happens, we take reasonable steps to ensure an adequate level of protection as required by the NDPA.
7. Client systems and data
When we work on a client's systems, websites or cloud accounts, we may have access to data held in those systems. We access such data only as needed to perform the agreed services, treat it as confidential, and do not use it for any other purpose. The client remains responsible, as data controller, for the lawful collection and use of data in its own systems.
8. How long we keep data
We keep enquiry data for as long as needed to respond and follow up, and generally no longer than 24 months if no engagement follows. Client and billing records are kept for the duration of the relationship and for as long as required by applicable tax and accounting laws. After that, data is deleted or anonymised.
9. Security
We use reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access. However, no method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security.
10. Your rights
Subject to applicable law, you have the right to:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data or restrict how we use it;
- object to processing based on legitimate interests or to direct marketing;
- withdraw consent at any time, without affecting earlier lawful processing;
- request a copy of your data in a portable format; and
- lodge a complaint with the Nigeria Data Protection Commission (NDPC).

11. Cookies
Our website does not use advertising or tracking cookies. Third-party resources we load, such as web fonts and images, may log basic technical information under their own privacy policies. Our website may link to other websites. We are not responsible for the privacy practices or content of those sites.
13. Children
Our services are aimed at businesses and organisations. We do not knowingly collect personal data from children under 18.

We may update this Privacy Policy from time to time. The latest version will always be published on this page with its effective date.
